1. General Principles

Outvisit processes personal data in accordance with the General Data Protection Regulation (GDPR) and the Swiss Federal Data Protection Act (DPA).

Data is used only for:

• Providing the requested service (organizing visits, creating reports, billing);
• Communicating with clients and agents;
• Managing business partnerships;
• Improving user experience through anonymized analytics.

No data is sold or transferred to third parties without explicit consent.

2. Client Data

Purposes

• Organization of visits, communication, billing, generation and delivery of photo/video reports.
• Possible sharing with selected partners (insurance, relocation, moving) for relevant offers.

Retention

• Reports, photos, videos: kept for a maximum of 14 days after transmission, then deleted.
• Contact and billing data: retained as long as necessary for legal reasons.
• Sharing with partners: maximum duration of 3 months after the last interaction.

B2B Clients

Professional partners (e.g., relocation agencies) are also subject to confidentiality obligations. Data exchanges are limited to information strictly necessary for the proper execution of the service or partnership.

3. Agent Data

Purposes

• Management of applications, assignments, communication, remuneration.

Retention

• Unsuccessful applications: deleted after 30 days.
• Active agents: only data necessary for operational and legal management is retained.

Agents may request deletion of their data, subject to legal obligations (e.g., accounting, taxation).

4. Third-Party Tools and Providers

Outvisit uses third-party providers to operate its services:

Some of these providers may transfer data to countries outside Switzerland/EU. In this case, Outvisit ensures that transfers are governed by standard contractual clauses (SCCs) approved by the European Commission.

5. Analytics Data and Cookies

Outvisit uses PostHog (EU servers) to measure and improve the use of the site and forms.

• Collected data is anonymized and not used for advertising.
• No third-party tracking technology (Google Analytics, Meta Pixel, etc.) is used.

If other functionality cookies are added in the future, an information banner and consent tool will be implemented.

6. Emails and Marketing Communications

Outvisit will use Brevo (Sendinblue) for sending transactional emails and service-related information.

For marketing communications, each email will include an immediate unsubscribe link.

No promotional communication is sent without prior consent.

7. Data Security

Reasonable technical and organizational measures are implemented to protect data against unauthorized access, loss, alteration or disclosure.

Access to third-party tools is limited to authorized individuals and is regularly reviewed.

8. Your Rights

In accordance with GDPR and DPA, you have the following rights:

• Access to your data;
• Rectification or deletion;
• Objection to sharing with business partners;
• Limitation of processing;
• Data portability (upon written request).

The main site is hosted via Super.so (Notion) and some content (e.g., client reports) via Softr.io, with secure storage on servers located in the European Union.
